AI excels at processing information, generating first drafts, analysing patterns, and handling repetitive tasks. However, it cannot replace the nuanced understanding of client needs, strategic thinking, or the relationship-building that forms the core of successful consulting.

My AI Toolkit: Three Core Platforms

Microsoft Copilot: The Integrated Workhorse

Microsoft Copilot has become my daily companion, primarily because it lives within my Microsoft 365 tenant, providing secure access to content stored across Outlook, Teams, and SharePoint. This integration is game-changing; I can ask Copilot to summarise email threads, find relevant documents from previous projects, or pull insights from Teams conversations, all whilst maintaining data security within my existing infrastructure.

Strengths:

  • Native integration with Microsoft 365 ecosystem
  • Secure access to your existing content across all Microsoft applications
  • Excellent for finding and summarising historical project information
  • Strong at transforming data from Excel into narrative insights
  • Maintains organisational data security and compliance

Limitations:

  • Can feel constrained compared to standalone AI platforms
  • Sometimes produces overly corporate language
  • Limited creative thinking compared to other tools
  • Requires Microsoft 365 subscription with Copilot licence for full functionality

Practical example: When preparing a proposal for a returning client, I can ask Copilot to summarise our previous email conversations, pull relevant documents from SharePoint, and identify key themes from our Teams meetings. This comprehensive view helps me craft more targeted proposals whilst ensuring I don’t miss important context from our relationship history.

ChatGPT: The Versatile Problem Solver

ChatGPT has proven invaluable for research and content creation. Its ability to understand context and maintain conversational flow makes it excellent for brainstorming sessions and developing complex arguments for proposals.

Strengths:

  • Exceptional at generating creative solutions and alternatives
  • Strong research capabilities when given specific prompts
  • Excellent for creating structured content like project briefs
  • Good at adapting tone and style for different audiences

Limitations:

  • Knowledge cutoff means it may miss recent developments
  • Can sometimes generate confident-sounding but inaccurate information
  • Requires careful fact-checking, especially for client-facing materials

Practical example: When developing a change management strategy for a client, I used ChatGPT to research best practices, generate implementation frameworks, and create stakeholder communication templates. The initial output required refinement, but it provided a solid foundation that would have taken hours to develop manually. It did get some things wrong, so it relied on my experience to correct these points.

Claude: The Analytical Partner

Claude has become my go-to tool for nuanced writing tasks. Its ability to process large amounts of information whilst maintaining accuracy makes it particularly valuable for comprehensive project reviews and strategic analysis and marketing content.

Strengths:

  • Excellent analytical capabilities for complex data interpretation
  • Strong at maintaining consistency across long documents
  • Good at identifying potential risks and considerations
  • Helpful for creating detailed project documentation

Limitations:

  • Less creative than ChatGPT for brainstorming
  • Can be overly cautious in its recommendations
  • Sometimes produces longer responses than necessary

Practical example: The basis for this article was drafted by Claude! I had to add the examples, but it provided the structure and some of the content, based on my initial draft ideas.

For consultants who live in Notion, the integrated AI capabilities offer seamless content creation and organisation. It’s particularly effective for maintaining client knowledge bases and creating reusable templates.

Jasper: The Marketing Specialist

If content marketing forms part of your consultant toolkit, Jasper offers sophisticated capabilities for creating blog posts, social media content, and marketing materials with consistent brand voice.

Otter.ai: The Meeting Assistant

For consultants who spend significant time in client meetings, Otter.ai provides automatic transcription and meeting summaries, allowing you to focus on the conversation rather than note-taking.

POE: The AI Model Aggregator

Developed by Quora, POE (Platform for Open Exploration) provides access to multiple AI models through a single interface, including Claude, GPT-4, and various other specialised models. This allows you to compare responses across different AI systems for the same query.

AI4Chat: The Multi-Model Workspace

AI4Chat offers another aggregation approach, providing access to various AI models including ChatGPT, Claude, and others through one platform. It’s particularly useful for consultants who want to experiment with different AI capabilities without managing multiple subscriptions.

Best for: Cost-effective access to multiple AI models, side-by-side comparison of responses, testing different approaches to the same problem Considerations: May lack some advanced features of native platforms; quality can vary depending on the underlying model being used.

The Value of AI Aggregation Platforms

One trend worth highlighting is the emergence of AI aggregation platforms like POE and AI4Chat. These tools address a common challenge: different AI models excel at different tasks, but managing multiple subscriptions and interfaces can become cumbersome.

In my experience, I’ve found certain models work better for specific types of consulting work. For instance, when developing creative marketing content, I might prefer one model’s approach, whilst for analytical work, another model provides superior insights. Aggregation platforms allow you to test these differences without the overhead of multiple accounts and interfaces.

I have been using AI4Chat for the last couple of weeks and am finding it very useful for general chat and I prefer it to using the native ChatGPT interface. However, it not as good as Claude for writing blog content.

Practical application: When developing a comprehensive client strategy document, I might use AI4Chat to query the same strategic question across multiple AI models, then synthesise the best elements from each response. This approach often yields more robust recommendations than relying on a single AI perspective.

I have found AI4Chat better than POE because I wasn’t able to purchase a POE subscription in Jersey and quickly ran out of free credits.

Research and Analysis

AI tools excel at processing large amounts of information quickly. When beginning a new client engagement, I use these tools to rapidly understand industry trends, competitive landscapes, and regulatory environments. The key is providing specific, well-crafted prompts that yield actionable insights rather than generic overviews.

For example, instead of asking “What are the trends in financial services?” I might prompt: “Analyse the key regulatory changes affecting mid-tier financial advisory firms in the UK over the past 18 months, focusing on compliance costs and operational impacts.”

Content Creation and Proposals

Proposal writing has been transformed by AI assistance. I now approach proposals by first using AI to structure my thinking, generate section outlines, and create initial content drafts. This allows me to focus my time on customising the message for each client and ensuring the strategic recommendations are sound.

The process typically involves:

Top tip: I always tell my preferred tool to provide its response using British English and suggest the style to use i.e. professional for proposals or ‘informal as if writing to a friend’ for my marketing content.

Status reports, project briefs, and documentation benefit enormously from AI assistance. These documents often follow predictable structures, making them ideal candidates for AI-enhanced creation. I maintain templates that work well with AI tools, allowing for rapid customisation based on project-specific details.

Marketing and Business Development

AI tools have streamlined my marketing efforts significantly. From generating social media content to creating newsletter articles, these tools help maintain consistent communication with my network. However, the key is maintaining authenticity; AI should enhance your voice, not replace it.

I never use AI for commenting on social media posts, but will use it for some posts.

Best Practices for AI Integration

Start Small and Scale Gradually

Don’t attempt to revolutionise your entire business overnight. Begin with one or two use cases where AI can provide immediate value, such as proposal writing or research. As you become comfortable with these applications, gradually expand to other areas.

Maintain Quality Control

AI-generated content should never go directly to clients without human review. Establish a quality control process that includes fact-checking, tone adjustment, and accuracy verification. Remember, your reputation depends on the quality of your deliverables, regardless of how they were created.

Customise Your Prompts

Generic prompts yield generic results. Develop a library of specific, detailed prompts tailored to your common tasks. The more context and specificity you provide, the better the output will be.

Keep Learning and Adapting

The AI landscape evolves rapidly. What worked six months ago may be superseded by newer capabilities. Stay informed about updates to existing tools and emerging solutions that could benefit your practice.
